Digital Pre-Start & Safety Inspection Guide

1. Getting Started

Welcome to A-Composite Fleet! Our app is designed to replace paper pre-start checklists with a secure, cloud-backed digital system.

A Personal Mode (Free)

When you first open the app, you are in Personal Mode. You can add one vehicle to your phone and perform unlimited local inspections. Your data stays completely on your phone.

B Joining a Company Fleet

If your company uses the Paid Fleet Tier, tap the black banner at the top of the Home Screen to Log In. Enter your Admin's "Join Code" to instantly link your account to the company cloud.

💡 Account Switching: Don't worry about losing your personal vehicle! If you log out of a company account, your personal vehicle will be waiting exactly where you left it in a secure local drawer.

2. Managing the Fleet Roster

1 For Admins: Adding Vehicles

Admins can tap Add Vehicle to create new assets in the Company Cloud. Once created, that vehicle becomes instantly available for any driver in your company to search and pin.

2 For Drivers: Pinning Vehicles

Drivers don't need to manually type out vehicle details. Tap Add Vehicle and use the search bar to find your truck or excavator by its Rego/Asset ID. Tap "Pin to Phone" to add it to your daily Home Screen roster.

💡 Ghost Vehicle Protection: If an Admin deletes a vehicle from the cloud (e.g., if a truck is sold), the app will automatically wipe it from all drivers' phones the next time they open the app.

3. Doing an Inspection

Tap any pinned vehicle on your Home Screen to begin a daily pre-start inspection.

  • Safety Declaration: You must read and accept the operator safety declaration before proceeding.
  • Pass / Fail: Go through the checklist. If an item fails, you must enter a note explaining the defect.
  • Evidence Photos: You can attach photos directly from your camera to document damage or leaks.
  • Sign & Save: Sign the screen with your finger to legally verify the report, then hit Save.

4. Offline Mode & Cloud Sync

Heavy machinery operates in remote areas. Our app is built with an "Offline-First" architecture so you never lose a report.

What happens when you have no signal?

If you lose 4G/5G or WiFi, the app will safely store your signed inspection and photos directly on your device's memory. If you look at your History tab, you will see a badge that looks like this: UNSYNCED LOCAL

How to Sync Back to the Boss

The app will attempt to quietly upload in the background once you regain internet. However, if you want to force the upload, open your History tab while connected to WiFi. You will see a massive yellow button:

☁️ SYNC OFFLINE REPORTS

Tap it once, and the app will blast all offline reports to the cloud, turning the badges to SYNCED.

5. History & PDF Reports

Your History tab is your digital filing cabinet.

Tap the PDF Icon next to any completed report to instantly generate a professional, formatted PDF document containing your signature, notes, and attached photos. You can share this PDF via Email, SMS, or save it to your phone's files.

💡 Resuming Drafts: If you get interrupted during an inspection, tap "Save Draft". It will appear in your History tab with a gray "DRAFT" badge. Just tap "Resume" to pick up exactly where you left off.

6. Web Dashboard (Admins)

If you are the company Admin, you don't need to read reports on a tiny phone screen.

Go to your Settings tab and tap Web Dashboard Portal. Log in on your desktop or laptop computer to view a live feed of every inspection done by your drivers, filter by vehicle or date, and download bulk PDF reports for your compliance audits.
